At SpeedShelf, we take your privacy and the security of your business data seriously. This Privacy Policy explains how we collect, use, and protect your information when you use our WhatsApp-based inventory management service.

1. Information We Collect

To provide you with a frictionless stock management experience, we collect the following types of data:

• Account Information: Your name, business name, email address, and the registered WhatsApp phone number(s) used by your staff to interact with the bot.
• Inventory Data: The voice notes, text messages, and images (such as delivery invoices) that you send to the SpeedShelf WhatsApp number.
• Derived Business Data: Information extracted from your uploads, including supplier names, item names, prices, and stock quantities.

2. How We Use Your Data

We use the data we collect exclusively to operate and improve the SpeedShelf service. Specifically, we use it to:

• Transcribe voice notes and extract line items from your invoices.
• Update and maintain your live inventory dashboard.
• Send automated low-stock alerts and weekly reports.
• Provide customer support and respond to your inquiries.

3. Third-Party Processors & Infrastructure

SpeedShelf is built on secure, enterprise-grade cloud architecture. To process your messages and maintain your database, your data interacts with the following trusted third-party service providers:

• Twilio: Acts as our secure gateway to receive and send messages via the WhatsApp Business API.
• Google (Firebase & Gemini AI): Used for secure authentication and to process unstructured data (reading invoice images and understanding voice notes).
• Amazon Web Services (AWS): Powers our backend logic (Lambda) and securely hosts your inventory database (DynamoDB).
• Streamlit Community Cloud: Hosts your live, real-time inventory dashboard.

We do not sell your data, invoice details, or supplier pricing to advertising agencies or competitors.

4. Data Retention and Security

Your inventory data is stored securely in our AWS databases. Images of invoices and voice notes are processed for data extraction and are not kept longer than necessary to provide the service and maintain your historical records. We use industry-standard encryption protocols to ensure data transmitted between WhatsApp, our backend, and your dashboard remains secure.

5. Your Rights

You have the right to access, update, or request the deletion of your business data at any time. If you wish to close your SpeedShelf account, we will permanently delete your inventory database records and disconnect your WhatsApp numbers from our engine.
